Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you and RingMind AI LLC ("RingMind AI," "we," "our," or "us") governing your use of our AI voice agent services and website at ringmindai.com.

By using our services, you agree to be bound by these Terms. If you do not agree, please do not use our services.

Description of Services

RingMind AI provides AI-powered voice agent solutions for small businesses including:

• 24/7 automated phone answering via AI voice agents
• Lead capture and intake management
• Appointment scheduling and calendar integration
• Automated SMS follow-up notifications
• Call transcription and summary services
• Lead tracking and reporting dashboards

SMS Terms and Conditions

RingMind AI LLC operates an SMS notification program to send follow-up messages to individuals who have interacted with our AI voice agents.

• Program name: RingMind AI Notifications
• Message frequency: One message per call interaction
• Message content: Appointment booking confirmations and scheduling links
• To opt out: Reply STOP to any message. You will receive one confirmation and no further messages will be sent
• For help: Reply HELP or contact us at [email protected]
• Message and data rates may apply depending on your carrier and plan
• Carriers are not liable for delayed or undelivered messages

Client Agreements

Businesses that engage RingMind AI for voice agent services ("Clients") agree to:

• Pay all applicable setup fees and monthly subscription fees as agreed
• Provide accurate business information for agent configuration
• Use our services in compliance with all applicable laws
• Not use our services for illegal, deceptive, or harmful purposes
• Maintain appropriate disclosures to their customers about AI agent use

Payment Terms

• Setup fees are due upon contract signing and are non-refundable
• Monthly subscription fees are billed in advance on a recurring basis
• Pricing is as agreed in your individual service agreement
• Late payments may result in service suspension
• All fees are in US dollars

Cancellation Policy

Month-to-month subscriptions may be cancelled with 30 days written notice. Annual contracts may be cancelled at the end of the contract term. Setup fees are non-refundable. Upon cancellation, service will continue through the end of the paid period.

Intellectual Property

All AI agent configurations, prompts, workflows, and systems created by RingMind AI remain the intellectual property of RingMind AI LLC. Clients receive a non-exclusive license to use these systems during their active subscription period.

Disclaimer of Warranties

Our services are provided "as is" without warranties of any kind. We do not guarantee uninterrupted service, specific results, or that our AI agents will handle every possible caller scenario perfectly. AI voice technology has limitations and may occasionally misunderstand callers or provide incomplete responses.

Limitation of Liability

RingMind AI LLC shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of our services. Our total liability shall not exceed the amount paid by you for services in the three months preceding the claim.

Indemnification

You agree to indemnify and hold harmless RingMind AI LLC from any claims, damages, or expenses arising from your use of our services in violation of these Terms or applicable law.

Governing Law

These Terms are governed by the laws of the Commonwealth of Virginia. Any disputes shall be resolved in the courts of Loudoun County, Virginia.

Changes to Terms

We reserve the right to modify these Terms at any time. Continued use of our services after changes constitutes acceptance of the new Terms.
